1. Ce este PAYE

PAYE (Pay As You Earn) este sistemul prin care reții impozitul pe venit și National Insurance (NI) din salariu și le trimiți la HMRC.

Calendar

Impozit

Primii £1.048 pe lună sunt liberi

Personal Allowance-ul (£12.570 pe an, codul 1257L). Peste el: 20%, apoi 40% peste £50.270 pe an.

NI angajat

8% între £1.048 și £4.189

Peste £4.189 pe lună, rata scade la 2%.

Employer NI

SMP, SPP, SAP, ShPP

PAYE UK: how to employ and pay staff through your company

What PAYE is, who pays what to HMRC, how to get from gross to net pay, and what Employment Allowance and Statutory Pay are. A calculator at the end.

1. What PAYE is

PAYE (Pay As You Earn) is the system where you deduct income tax and National Insurance (NI) from pay and send them to HMRC. You calculate, deduct, pay and report.

Register before the first salary payment. This applies whether you pay a director or an employee.

Wondering how to pay yourself as a director, through salary or dividends? See the directors article.

2. Who pays what

Four things happen with every salary, in order.

1. Gross salary
The contract amount, before deductions.
↓
2. The employee pays
Income tax and employee NI. You deduct them from the salary.
↓
3. You pay from the company
Employer NI, calculated on the same salary. It is not deducted from the employee.
↓
4. You send everything to HMRC
Tax + employee NI + employer NI, minus Employment Allowance if it applies.
Employee

Receives net pay

Gross minus tax and employee NI. This reaches their account.

You

The company cost

Your real cost is gross pay plus employer NI.

HMRC

Receives the total

Tax, employee NI and employer NI for the tax month, in one payment.

3. Employee, self-employed or CIS

You choose based on how the person works. The key question: who sets the schedule and the way of working?

Employee (PAYE)

Example: the director

You set the schedule and the method. Pay goes through PAYE.

Self-employed

Example: consultant

Works their own way, has several clients and invoices you. You pay the invoice, with no salary deductions.

CIS

Example: subcontractor

The contractor deducts part of the payment and sends it to HMRC for the subcontractor.

Important: if someone works only for you, on your schedule and with your method, HMRC may treat them as an employee, even if they invoice you.

4. How to register

Prepare the details first, so you do not redo the form:

Company

Company details

Name, company number (CRN), address and contact.

Director

Personal details

Name, date of birth, NINO and address.

Pay

Employment details

Number of employees (including you), estimated monthly salary and the date of the first payment.

Register on GOV.UK
Or through an accountant, with the details above.
Receive two references
PAYE Reference and Accounts Office Reference. You use them for every report.
Activate the online service
Through Government Gateway, for RTI reporting.

5. How to report salaries (RTI)

You report in real time, with every payment, through RTI.

Salary paidon paydayFPS to HMRCwith every paymentEPS, when neededleave, sickness, other changes
FPS

Full Payment Submission

Sent on payday or before. Contains salary, tax and NI for everyone on payroll.

EPS

Employer Payment Summary

Sent when something changes: no salary paid in a month, or statutory pay to recover.

Keep the HMRC confirmation after every report. It is your proof that you reported on time.

6. How to pay HMRC

Payments follow the tax month, from the 6th of one month to the 5th of the next. The amount is the total of that period's FPS submissions, minus Employment Allowance.

Deadline

By the 22nd

Pay by the 22nd of the month after the tax month. Send the payment a few days early.

Calendar

Put it in your calendar

Add all the dates at the start of the year. A missed deadline means a penalty.

Check on GOV.UK the exact date for payment by post and electronically, and what happens when the 22nd falls on a weekend.

7. How salaries are calculated

Start with the monthly gross and deduct, in order. Thresholds are monthly for tax year 2025/26.

Tax

The first £1,048 a month is tax-free

Personal Allowance of £12,570 a year (code 1257L). Above it: 20%, then 40% above £50,270 a year.

Employee NI

8% between £1,048 and £4,189

Above £4,189 a month, the rate drops to 2%.

Employer NI

15% above £417 a month

You pay it from the company. It is not deducted from the employee.

In short: net = gross − tax − employee NI. Total to HMRC = tax + employee NI + employer NI − Employment Allowance.
For directors: NI is calculated on an annual basis, not monthly. The calculator below approximates monthly, so it is indicative. For a real salary, check with your payroll software.

8. Employment Allowance

Employment Allowance reduces employer NI by up to £10,500 a year, which is up to £875 a month. Your software applies it when you submit the FPS.

You can

If you have other employees

You have at least one employee, besides the director, above the employer NI threshold.

You cannot

If the director is the only employee

If the director is the only person on payroll, you cannot use Employment Allowance.

9. Statutory Pay

Statutory Pay is the legal pay you owe when an employee cannot work or is on a statutory leave. It goes through payroll, so it carries tax and NI like any salary.

SSP

Statutory Sick Pay

For sickness, paid by the employer. Check on GOV.UK from which day it is paid, as the rule has recently changed.

SMP, SPP, SAP, ShPP

Statutory family pay

For maternity, paternity, adoption and the loss of a child. You can recover part of the cost through the EPS.

10. Workplace pension

You must automatically enrol eligible employees in a pension scheme and pay the minimum contributions.

Who

Eligible employees

Aged 22 up to State Pension age, earning over £10,000 a year.

How much

The legal minimum

3% employer and 5% employee, on qualifying earnings (£6,240 to £50,270 a year).

Sole director with no other employees: check the rule on The Pensions Regulator before you decide. Details, steps and deadlines are in the pensions article.

11. Calculator: gross → net

Enter the monthly gross salary to see what the employee receives, what you deduct, and what you pay.

Disclaimer: indicative simulation, for England, Wales and Northern Ireland, with code 1257L and no pension. It does not replace payroll software, the tax code from HMRC, or an accountant's advice.

12. Do it yourself or hire an accountant

You can do PAYE yourself if you know exactly what you are doing and use RTI-compatible software. If you are unsure about the calculation, codes, Employment Allowance or deadlines, hire an accountant.

Important: once your PAYE scheme is active, reports and payments are mandatory. If you are late, you get penalties. If the delays continue, HMRC can close the scheme.

Your obligations to the employee

Contract

In writing

Pay, hours and holiday, clearly written.

Minimum wage

At least the legal minimum

National Minimum Wage, for their age. Check the current rate on GOV.UK.

Payslip

With every payment

Gross, net, tax and NI.

13. P45 and P60

P45

When the employee leaves

Give them a P45 with pay and tax up to the leaving date. The new employer uses it.

P60

At the end of the tax year

Give them a P60 by 31 May, with the total for the tax year.

14. Monthly checklist

  1. Calculate salaries and check tax codes.
  2. Check Employment Allowance and Statutory Pay, if relevant.
  3. Pay salaries and send the FPS on payday or before.
  4. Send the EPS if needed.
  5. Pay HMRC by the 22nd of the month after the tax month.
  6. Give the payslip and keep the confirmations.

15. Frequently asked questions

Do I need PAYE if I only pay myself?

Yes, if you pay yourself a salary. If you take no salary at all, PAYE is not needed. More in the directors article.

What exactly do I pay HMRC?

The tax deducted, the employee NI deducted and your employer NI, minus Employment Allowance if it applies.

Can I pay an employee as self-employed?

Only if the relationship meets the self-employment conditions. If they work to your schedule and method, they are an employee.

What if I do not pay a salary in a month?

Send an EPS for that month to tell HMRC.

What if I made a mistake on an FPS?

Send a corrected FPS as soon as you can.

How long do I keep records?

At least 3 years after the end of the tax year. Check the exact requirement on GOV.UK.
